Send a mass text to users

Before You Begin

  • Mass Notify is available on Plus and Advanced plans only.
  • Owners and Admins can send to any user group in the account. A Limited Admin can notify only users within their own user group.

Sending a mass notification

  1. Open Mass Notify
    • In the web app, open Notify Users in the sidebar, or go to Mass Notify.
  2. Choose who receives your message
    • Open Select Recipients and choose the user groups (and users) who should receive the message.
  3. Set a headline
    • Think of this as an email subject line: it is the first thing a recipient reads, and on a locked phone screen it may be all they read. Lead with the action: "North Field closed: lightning" rather than "Weather update".
  4. Enter your message
    • Write the body of the message. Keep it short and specific: what is happening, what the recipient should do, and when it changes.
  5. Choose your delivery channels
    • Select push notification, SMS, email, or any combination.
    • Whether an individual recipient gets a push or a text also depends on their own notification settings.
    • For anything urgent, select more than one channel.
  6. Review the preview and send
    • Check the preview for how the headline and message will appear.
    • Confirm the send. Make sure the user count in the confirmation matches the group you expect to send to.
    • Send the message. A mass notification cannot be recalled: once it sends, the message is on every recipient's phone, and the only fix is a second message correcting it.

After you send

Open the History panel on Mass Notify to see past sends and recipient counts. You can also save a message as a Template from the send form for reuse.

If a recipient didn't get the message

Work through these in order:

  1. Were they on the recipient list? Confirm their user group and location were included in the send. This is the most common cause.
  2. Are they signed up? SMS needs a mobile number saved on their profile; push needs the mobile app installed with notifications allowed at the device level.
  3. Are their own notification settings blocking it? A user's channel preferences apply to a mass notification too.
