User Management Overview
Perry Weather supports the ability to add, edit and delete users.
Adding a User
Perry Weather supports the ability to add, edit and delete users. To add a user, navigate to the User Management page, click “Add New User” and fill out the required fields, such as first name, last name and email. If you wish to add the user to a User Group, click the dropdown and select the desired group.
Creating User Groups
User Groups help organize your users into groups that have similar locations or notification needs. You can see a list of all existing user group options by navigating to the User Management page, and clicking the “User Groups” tab.
To create a new group, click “Add New Group”, and create the desired group name along with the specific times you wish for this group to receive alerts. Alert times can be adjusted by day, and the hours within that day.
Bulk Uploading New Users
Perry Weather now offers Admins the ability to add multiple users at once in the User Management page by importing a .CSV file with a list of new users you want to add to your organization.
Please note that this tool creates new users only. If you would like to edit or update multiple users, please use Bulk Edit instead.
For the smoothest experience, use our template or export a list of your current users to get the correct file format.
Here’s how to bulk upload new users to the Perry Weather platform:
- On the User Management page, click “Add New User” and choose the “Bulk Upload” option.
- Then, you can download the template or export a list of your current users:
- It’s recommended that you download our template to ensure your file has the correct format. This template comes pre-filled with accepted inputs for the permission levels and time zones.
- You can also access the template by exporting your current list of users by clicking “Export Users”, which downloads your current list with all the correct fields, which can then be used to add new users.
- Next, fill in the template with the required fields. Make sure to avoid special characters as these will not be accepted and will cause errors. (Examples: #!$%&)
- First Name
- Last Name
- Phone Number
- Permission Level
- User Group
- Time Zone
- Then, set the permission level. There are four options to choose from, and they must be typed into the spreadsheet exactly as they are spelled:
- Admin - Admins have full access to all available features of the application. They can view, create, edit, or delete content and manage users across all user groups.
- Limited Admin - Limited Admins can manage and send notifications to users within their own user group. They also have access to trigger hardware and message meteorologists, but can’t manage policies or locations.
- Basic - Basic users can log in to the app and view most features, but cannot manage users, trigger hardware, send notifications, or message meteorologists.
- Notification Only - Notification Only users can receive notifications but cannot log in to the mobile or web app.
- Now, choose which User Group(s) new users should be added to.
- You can see a list of all existing user group options in the “User Groups” tab on the User Management page. Make sure that you enter the exact user group name for each row.
- If you are using an exported list of your existing users, copy the User Group names from existing users and paste them into the corresponding cells for the new users you want to add into that group.
- Lastly, set the time zone. This field only supports specific time zones, located below. Copy the time zone(s) below that you want your team to receive alerts in and paste them into the corresponding row for the new users.
-
Notification Only Users can only be in these time zones:
Central (CST) Mountain (MST) Eastern (EST) Pacific (PST) - Full Users (Admin, Limited Admin, Basic) can choose from the following time zones:
-
| America/New_York | America/Indiana/Marengo | America/North_Dakota/Center |
| America/Detroit | America/Indiana/Petersburg | America/North_Dakota/New_Salem |
| America/Kentucky/Louisville | America/Indiana/Vevay | America/North_Dakota/Beulah |
| America/Kentucky/Monticello | America/Chicago | America/Denver |
| America/Indiana/Indianapolis | America/Indiana/Tell_City | America/Boise |
| America/Indiana/Vincennes | America/Indiana/Knox | America/Phoenix |
| America/Indiana/Winamac | America/Menominee | America/Los_Angeles |
| America/Anchorage | America/Juneau | America/Sitka |
| America/Metlakatla | America/Yakutat | America/Nome |
| America/Adak |
- Once you have updated your template with the new users you would like to add, head back to the User Management page and upload your file by clicking “Add New Users”, and then selecting “Bulk Upload” from the dropdown.
Troubleshooting
If you encounter any errors with your upload, you can download the error report to see exactly where the issues occurred.
Error reports are a copy of your uploaded template with additional “Notes”, which communicates exactly what the errors are and how to fix them. Additionally, if we find users in your file that already exist in our system, these will also be marked in the “Notes” column.
Once errors have been fixed, re-upload the error report or the original file with the edits.
Onboarding Forms
Onboarding forms are a new way for admins to add users to the Perry Weather platform without manually entering details. With onboarding forms, new users can simply scan a QR code, fill out their account details, and instantly join their organization’s Perry Weather platform. There are a variety of ways to customize this form, such as the permission level, which locations are optional or required, and the user expiration date, if necessary.
Creating Onboarding Forms
- To create a new onboarding form, navigate to the user management page, and click the “Onboarding Forms” tab. From here, you can view every form created, including active and inactive.
- Click the “New Sign Up Form” button. A new form will appear, with multiple fields to fill in:
- Form Name: The name of the form.
- Sign Up Instructions: Good for simple instructions that people may need to know while signing up. This will show at the top of the form.
- Permission Level: The levels of access a user of Perry Weather can have. See above in the Bulk Uploading section to understand the differences between each level.
- User Group: Assigns the user to a specific or relevant group. If you choose to leave the User Group toggle in the off position, the registrant is allowed to select which user groups they will belong to.
- Default Locations: The default location the user is assigned to.
- Optional Locations: The locations that users can add, but are not required to.
- Time Zone: The time zone the user is located in.
- Approval: Admins can auto-approve sign ups from the form by toggling the switch into the “on” position, or can choose to manually review users via the “Pending Approvals” tab in the User Management page.
- User Expiration (Advanced Plan Only): If a user signing up only needs a temporary login, admins can adjust the form so that when a sign up occurs, that user can only access Perry Weather for a set number of days.
-
Default Alert Mode (Advanced Plan Only): This determines when and how new users get alerts.
- Scheduled: Users will only receive notifications during designated times. New users by default will be automatically put in this alert mode unless your admin or organization has access to geofencing capabilities.
- Location-Based: Users will only receive notifications when they are in geofenced to a specific, geographic area. Learn more about geofencing here.
- Location or Scheduled: Users will receive notifications based on either their location or the time of day.
- Once the form has been configured, download your QR code, and copy the sign up link. The QR codes can be displayed on TVs, Scoreboards, websites etc.,
- Click “Create Form”, and your dashboard will update, and the signup form will automatically turn on.
- If you have “Auto Approve Sign Ups” toggled OFF, you’ll need to approve every sign up. You can do this by navigating to the “Pending Approvals” tab, and clicking “Approve” or “Deny” in the tab.
